CounselPad.ai ("CounselPad," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.

By using CounselPad, you agree to the collection and use of information in accordance with this policy.

Account Information: When you create an account, we collect your name, email address, and payment information.

Usage Data: We collect information about how you use CounselPad, including session duration, features used, and documents generated.

Audio & Documents: Audio recordings and generated documents are processed to provide our service. This data is encrypted and never used to train shared AI models.

We use the information we collect to:

• Provide, maintain, and improve our services
• Process transactions and send related information
• Send technical notices and support messages
• Respond to your comments and questions
• Monitor and analyze usage trends

Customer data is never used to train shared AI models. Private model customization is available by contract for Enterprise customers. Your documents and recordings are yours alone.

We implement industry-standard security measures to protect your data:

• AES-256 encryption for all data at rest and in transit
• HIPAA-compliant infrastructure and processes
• Regular security audits and vulnerability assessments
• Strict access controls and authentication

CounselPad offers a Business Associate Agreement for covered entities and their business associates subject to HIPAA. A BAA establishes the permitted uses and disclosures of protected health information (PHI) between your organization and CounselPad.

To request a BAA, please contact us at [email protected]. Enterprise plan customers may have BAA execution included as part of their onboarding.

You maintain full control over your data. You can request deletion of your data at any time by contacting [email protected].

Upon account cancellation, your data is retained for 30 days before permanent deletion, unless you request immediate deletion.

We use trusted third-party services to operate CounselPad, including:

• Stripe for payment processing (PCI-DSS Level 1 certified)
• Google Analytics for website analytics (anonymized data only)
• Firebase for authentication and data storage

We do not sell your personal information to third parties.
